Scope: PMO supports the project organzation during the delivery project. The PMO is the single point of contact (SPOC) for the project management, the project team, other Ultimus departments and customers and partners.
A) General PMO activities (40%)
? Securing of necessary project infrastructure (project rooms, PCs, Phones, Connectivity, …)
? New intake of new project team members (project organization, hotels, addresses etc.)
? Preparation of project meetings (room reservations, projectors, documents etc.)
? Maintaining of project contact lists, distribution lists
? Maintaining project team member availability (absence)
? Administration of document management system
B) Support of project manager (45%)
? Maintaining the project plan
? Updating of project estimation based on approved changes, executing the project controlling (time, budget, quality)
? Controlling of booked hours (internal and external), clearance of deviance
? Creation of reports, analysis and presentations
? Coordination of resource requests – together with Resource Adminsitrator
? Project Communication (monthly update, newsletter)
C) Procurement, Accounting, Billing (5%)
? Support procurement process
? Verification of invoices
D) Customer Support (5%)
? SPOC for all kind of customer queries
E) Continuous Improvement (5%)
? Plans and supports Post-Project-Reviews and gather Lessons Learnt and Best Practices
? Support improving methods and standards
Professional Experience & Education:
• Deep, well proven PMO management skills (experience of 1 to 2 years of successful PMO management)
• Experience in managing organizational and administrative tasks
• Skills in Project Management (experience of at least 1 to 2 years of successful project management – especially in the area of BPM)
• Knowledge of PMI (scope, time, cost, change, risk, quality, communication, HR management) and escalation management
? Knowledge about Ultimus BPM Suite and Ultimus Solutions
? Well proven languages skills: English business fluent – verbal and written
