Job Description

The Media Stewardship Senior Specialist plays a key role in supporting digital marketing operations by managing purchase orders (POs), processing invoices, and validating Proof of Performance (PoP). This role requires strong organizational, analytical, and communication skills, as well as proficiency in Excel and familiarity with digital media tools.

Key Responsibilities

Purchase Order Management:

- Manage end-to-end PO process for media and digital services.
- Collaborate with the PG Pacific Media Team to identify purchasing needs.
- Ensure timely receipt of quotations and insertion orders (IOs) from internal teams or third parties.
- Create and structure POs in Coupa (titles, market, IOs, G/L accounts, line items, etc.) and ensure accuracy.
- Submit and track POs through the approval path and send them to vendors before services begin.
- Consolidate POs and supporting evidence using Excel, Word, PowerPoint, and Google Drive.

Administrative & Financial Operations:

- Handle high volumes of invoices and validate PoP to ensure accuracy and policy compliance.
- Investigate and resolve invoice discrepancies by coordinating with internal teams and external vendors.
- Ensure accurate, timely payments and prevent overpayments.
- Stay current with P&G policies and systems.

Digital Media & Tools:

- Support PoP validation using tools such as FlashTalking, DoubleVerify, DV360, and TikTok.
- Utilize Media Stewardship Central Team tools for digital PoP processes.

Vendor & Supplier Coordination:

- Manage relationships with Pacific region suppliers and media agencies.
- Provide supplier training and develop tools to streamline communication and processes.
- Ensure accurate documentation and timely resolution of 100% of issues, tracked in Excel.

Audit & Compliance:

- Oversee local audits related to P2P, PoP, and invoicing.
- Support internal audits (CSA, GIA, Stewardship) with documentation and risk analysis.
- Promote continuous process improvement and compliance with company standards.

Job Qualifications

Top Skills:

- Excel (Intermediate to Advanced)
- English proficiency (written and verbal)
- Strong problem-solving and attention to detail
- Clear written and verbal communication

Nice to have:

- Knowledge in platforms like SAP / Concur / Meta TikTok / DV360
- comfortable navigating technological tools, including purchasing portals.

Technical Skills:

- Experience with financial systems (e.g., SAP, Concur, Coupa)
- Basic accounting knowledge
- Familiarity with digital marketing platforms and tools
