Major Function:
Project Managers at ULG are directly responsible for the coordination of translations, graphics, CAT engineering and publishing tasks required to produce multilingual documentation. Project managers schedule and manage multiple projects simultaneously for a set of client accounts. Duties include coordinating with translators, editors, and desktop publishers; formatting documents, ensuring compliance with our translation quality control procedures, and meeting deadlines.
The Project Manager will be required to work weekend shifts, cover public holidays (US and Panama) in addition to late shift duties during weekdays for a total of 40 hours per week.
Specific Responsibilities:
• Manage client projects to ensure client satisfaction and on-time delivery
• Attend team meetings to analyze past projects for lessons learned
o Obtain project specifics from client, ensuring schedule, cost and quality objectives; work with the sales team to ensure clarity of project and manage client expectations
o Coordinate the translation, graphics, engineering or Desktop publishing processes required to produce multilingual documentation
o Coordinate internal and external resources (translators, editors, Desktop Publishers, engineering teams and QA) within budget and turnaround time constraints, including some delegation of work to other ULG offices around the world
o Track assignment and progress of action items, proactively identify issues/potential issues, and take action to prevent time delays or increased costs
o Update client/supervisor/upper management regularly on project progress and any changes in scope, timeline, or cost, as needed, and if necessary follow proper guidelines for processing Change Orders with customers
o Check quality of deliverables to standard as required and format documents in certain software programs (MS Word, Excel, PowerPoint)
o Ensure the timely and appropriate distribution of accurate project information
o Deliver final project to client in established format and within agreed timeframe
• Ensure compliance with strict translation quality control procedures
• Follow up with client post-project to determine client’s level of satisfaction and future needs
• Maintain records of expenses and approve payment for suppliers. Review and approve supplier invoices
• Monitor translation quality and engage with ULG vendor management and linguistic quality team for complaint resolution or any other action, as required
Additional Responsibilities:
• Stay informed on trends and best practices in the language services and localization industries
• Make recommendations for internal process improvement
• Assume other special activities and responsibilities from time to time, as directed
• Editing or proofreading of legal and financial translations for spoken languages
Required Qualifications:
• Bachelor’s degree and/or less than 2 years equivalent experience in translation project management or related activities
• Advanced MS Office skills
• Key competencies: Communication skills, Learning Agility, Organization & Planning, Quality and Quantity Output, Customer Orientation, Team Player
• Desired:
o Fluency in English (near native skills required)
o Foreign language skills (Spanish and Portuguese preferred)
o Background in languages and translation
o Experience working with subcontractors and sales people
o Translation industry and Translation Memory software experience, such as SDL Trados, MemoQ or XTM
o Good sense of humor and 'can do attitude'
o Energetic self-starter with initiative and creative approach to problem solving
o Excellent verbal and written communication skills
