We currently have an opportunity available for an Administrative Support Professional at the DHL PTY HUB. The Administrative Support Professional will provide support to the PTY HUB ; requiring minimal supervision, anticipating needs while managing the day-to-day workflow and prioritizing various projects, which include scheduling, preparing materials for meetings and coordinating projects as requested by the executives being supported.

Key Accountabilities:

- Maintain the Director schedule, including day-to-day and long-term management of meetings, projects, and priorities
- Coordinates projects as assigned by the Hub Director
- Schedule all meetings and travel, including prioritizing meetings and communicating all
relevant details to participants
- Balance conflicting priorities to manage workflow, ensure the completion of essential projects, and meet critical deadlines
- Ensure Executives are prepared for upcoming appointments by gathering materials necessary for
each meeting
- Serve as the first point of contact for a wide variety of high-level relationships between
Executives and external contacts
- Handle phone, email and postal mail inquiries and respond appropriately
- Coordinate, manage and follow-up on special projects, including working collaboratively with employees to assure projects and actions meet deadlines
- Work as a member of the team, willingly providing back-up support for co-workers
- BCA preparations for PTY HUB project.
- Supporting PTY HUB training organization, coordination, material preparations for mandatory trainings.
- Support with PTY HUB events.
- Support cost control process & Purchase order for ACS, HUB & GSE.

Qualifications

Skills & Qualifications:

- Proven organization and time management skills to complete a high volume of varied
responsibilities in a fast-paced professional setting with excellent attention to detail
- Excellent communication skills (oral and written)
- Proficient in all MS Office applications including, Word, Excel, PowerPoint & Power BI
- Excellent relationship builder; able to demonstrate a high level of tact, discretion, and
diplomacy with all internal and external stakeholders
- Must also demonstrate ability to maintain confidential/sensitive information
- Skilled in all aspects of planning and project management/Able to take an idea from concept to completion
- Resourceful, strategic problem-solving ability with a fun, positive "can do" attitude
- Previous experience with SAP (GeT) or Bassware desire
- Typically requires BS/BA or related work experience in related discipline and 0-2 years
of experience in related field
- English language skills with a strong communication (oral and Written) skills
